On this page we have gathered necessary information for suppliers. 

Revision of the assortment

At Apotek Hjärtat, we continuously re-evaluate our assortment based on our customers’ needs and are interested in new products that can help increase the customer value. Currently we revise the assortment in stores three times per year in May, October, and February. The online assortment, on the other hand, is revised continuously during the year. Please label your submission with the correct product category.

Important dates for the revisions

Sun is revised together with articles in the February-window, and Christmas articles in the October-window after the current date of the next revision.

Below you will find a schedule with important dates to be aware of for upcoming store revisions. Online revision takes place continuously.

Note! Apotek Hjärtat will strictly follow the above schedule. If documents or article data are not received on time, they will not be considered in the current revision period. The supplier will then have to re-send the documentation for the next period.

 

Documents to Apotek Hjärtat

For Apotek Hjärtat to be able to evaluate the products, we need to receive the following list of documentation to make an assessment:

  • Article data template
    Name the file: Supplier name – Revision period
    e.g. Apotek Hjärtat – May 2022 & Online
  • Artwork in PDF-format 

    All sides of the packaging must be legible. Include outer packaging, inner packaging and any additional labeling (e.g. label).
    Name the file: EAN – Name of product
    e.g. 7340160906457 – Schampoo.pdf

  • Product images(s)
    Name the file: EAN – Brand – Image view
    e.g. 7340160906457 - Hjärtat - Front.png
  • Planogram images
  • (Additional quality documentation, see paragraph Quality Requirements below)

 

 

Documentation is sent to responsible Category and Buying Manager.

Note!
If the article data template is incomplete or incorrect, these articles will not be assessed by Apotek Hjärtat. Hence, be careful with the details. If an incorrect or old version of the article data template is used, you will need to re-send with the correct template before deadline.

Price adjustment

Below you can find the price notice template regarding adjustments. Please note that any adjustment of prices is made in regards with our revision period (Feb, May and Oct) and we need to receive written information/notice 12 weeks prior to the nearest revision period (Feb, May and Oct) and both parties must agree before the new price takes effect. Send to KIA and KIC.

Images

Apotek Hjärtat needs three types of images :

  • Artwork- Used for quality review (See example)
  • Planogram image – Used for shelf planning in stores (See example)
  • Product image – Intended for marketing and sales of articles online (See example)

Images are either uploaded to an image database (specified in the Article data template) or sent as an attachment with the article data template.

 

Quality requirements

All products delivered to Apotek Hjärtat must comply with the current legislation. Labeling is reviewed before the product is included in the assortment (artwork and/or product samples). For the following categories it is also required that the supplier send additional documentation:

 

Food supplements and food

  • If health claims about botanicals are used, application numbers with EFSA is required to be sent to Apotek Hjärtat.
  • If applicable, send organic certificate.

 

Medical devices

  • Declaration of Conformity (DoC)
  • Leaflet

 

Personal protective equipment

  • Declaration of Conformity (DoC)

 

Chemical products incl. biocides

  • Safety data sheet in Swedish.

 

Cosmetic products

Product sample

Product samples are used to review and quality assure items before including them in the assortment. Please note that Apotek Hjärtat contacts the supplier as needed for submission of product samples.

Are you a new supplier and want to announce articles to Apotek Hjärtat? Please contact:

  • Information about the product or product range
  • Information about the company with a link to your website
  • Contact information

In the event of mutual interest, you will be contacted by the responsible Category and Buying Manager.
